PopStudio turns a camera, a laptop and one printed QR sign into a pop-up photo studio anyone on your team can run. Here's the whole thing end to end, including what happens when the wifi dies, the camera unplugs, or someone turns up without a phone.

Before the event

Ten minutes of setup

Create the event in your dashboard, set how long photos should stay live, upload your overlay, and print the sign. Plug the camera into the laptop and take one test shot to check the look. That's the whole preparation.

  • Retention: how many days the photos stay up before they delete themselves
  • Your overlay is applied to every frame automatically
  • The sign prints to A4 with the event's QR already on it

1.0 · In the queue

Guests check themselves in

One static QR on the sign, the same one all night. Guests scan it while they're already waiting, put in a name and email, and get a five-character code plus a QR on their own phone.

Nothing is printed per guest. Nothing runs out. Nobody has to keep a card number and a photo in sync.

2.0 · At the camera

Scan, greet by name, shoot

The operator scans the guest's phone. Their name appears in large type on the laptop, which means your photographer greets a stranger by name, every time. Every frame from that moment binds to that guest automatically.

  • Groups: scan several guests into one session and everyone gets the photos
  • Dead phone: search the queue by name instead
  • No form at all: a walk-up code they can redeem later

3.0 · Develop

Small corrections, every frame

The picture gets made in the camera. This step is for what you can only judge on a proper screen: brightness, contrast and white balance. Nudge one slider and every frame after it matches. The lighting doesn't change all night, so one correction suits the whole event.

The original file is never touched. Adjustments are applied on the way out, so a wrong call is fixable afterwards, and any single frame can be cropped or straightened on its own before it goes.

4.0 · Deliver

In their inbox, about a minute later

Tap Done and the photos upload and email themselves. The guest gets a link to their own photo page with full-size downloads, and a delete button that genuinely deletes.

The link goes to the address that guest typed when they joined the queue, and nowhere else. We don't publish a gallery, and we don't share the list with anyone.

5.0 · After

See exactly who got what

A send log with every guest, delivery status, and plain-language reasons when something bounced, usually a typo in an email typed at speed. One button resends.

Then the retention clock runs down and the photos delete themselves, on the schedule you chose.

The honest part

When things go wrong

Every event has a moment. Here's what each one actually does, because this is the section we'd want to read.

  • The venue wifi dies. Capture, develop and binding all keep working on the laptop. Uploads and emails queue and send themselves when the connection returns.
  • The camera unplugs. An unmissable red status appears with plain-language fix hints. Nothing already captured is lost.
  • A guest's phone is dead. Search the queue by name and claim them that way.
  • Someone never joined the queue. Use the walk-up button. They get a code to redeem for their photos later.
  • Two stations, same guest. The queue is shared and locked, so the second station sees "being photographed at station 1" rather than double-booking them.
  • A frame fails to develop. It’s marked and retryable, and the original is always kept.
