Four ways to do this.
Here's the honest trade-off.

Photo booth hire, a face-recognition gallery, doing it yourself, or PopStudio. Each of these is genuinely the right answer for some events. Here is which, including the ones where the answer is not us.

The four

What each one is actually best at

Best at — a print in their hand, and fun

Photo booth hire

An unattended machine with a curtain, a prop box and a printer. Guests pile in, press the button, and walk away with a strip in their hand thirty seconds later. Nobody has to be rostered on and nobody has to know anything about cameras. For a 21st, a wedding reception after the speeches, or a Christmas party, this is often the best money on the night. The limit is the rig: one group at a time, one fixed frame, one look.

Best at — matching thousands of candids automatically

Face-recognition gallery apps

The photographer shoots normally and uploads everything. Guests submit a selfie and the platform finds every frame they appear in, including candids they never posed for. At a multi-day festival or a large conference with several shooters, nothing else does this job. It is real capability and we are not going to pretend otherwise. The trade is a faceprint per guest, and everything that comes with holding biometric data.

Best at — control, and costing nothing

DIY — shoot now, email later

Shoot the event, cull and edit at home, then send a gallery link or attach files to emails. Full creative control, no platform in the middle, no cost beyond your time. It works, and for small events it may be all you need. The failure mode is well known: the sign-up sheet gets wet, two names are illegible, and the photos land in inboxes eleven days later when the moment has gone.

Best at — posed portraits delivered before they leave

PopStudio

A real photographer with a real camera tethered to a laptop. Guests scan one QR sign while queuing, check in on their phone, and get a five-character code. You scan it, shoot, tap Done, and the photos email themselves in about a minute. No faceprints, no clipboard, no weekend of admin. It suits a queue of people who want a good portrait of themselves — church nights, school events, markets, mini sessions.

Image quality Consistent. A fixed rig, fixed light, same frame every time. Whatever the photographer shot. The platform does not take pictures. Your best work, unconstrained. Your camera, your lens, your lighting.
Delivery speed A print in hand on the night. Digital copies vary by hire company. After the photographer uploads. Minutes to days, depending on the workflow. Days to weeks. Honest, and the reason most people look for something else. About a minute, to a personal photo page.
Cost per event Quoted per hire, usually by the hour, with the crew included. Per event or per subscription, varies widely by platform. Free, plus your unpaid evening. US$50 up to 400 guests, US$75 up to 2000. NZD, excl GST.
Setup time The hire crew builds it. You supply space and power. Minimal on the night. The work is uploading afterwards. Camera out of the bag. Nothing else. Camera, laptop, USB cable, one printed QR sign.
Biometric data collected None in a standard print-and-go setup. Yes — a faceprint per guest. That is how it works. None None, by design and permanently.
Consent for children Usually nothing collected. Ask what any digital delivery stores. Needs a face from the child to match. Check consent carefully. Entirely on you and your spreadsheet. The organiser handles it. We never ask an age, and we collect nothing biometric.
Guest can delete their own photos The print is theirs. Ask the hire company about digital copies. Varies by platform. Read the terms. They have to email you and hope. Button on their own photo page.
Works offline Printing, yes. Digital sending needs a connection. No — matching happens after upload. Yes. The upload comes later regardless. Yes — shoots offline, sends when wifi returns.
Your branding Template-based, often carrying the hire company's look too. Usually a platform-branded gallery. Completely yours. Your event, your photos. The free test drive is watermarked; paid plans are not.
Throughput One group at a time inside the enclosure. Unbounded — it only has to match, not shoot. Fast to shoot. Slow to deliver. Multiple stations on one live queue, up to 4 seats.
Who can operate it Guests operate it themselves. No staff required. Any photographer, plus someone to do the upload. You, then you again at midnight. Needs a photographer and a laptop.
Printed photos on the night Yes — this is the whole point of a booth. No No No. Digital delivery only.
Props and silliness Yes — hats, boas, a curtain, the lot. Not applicable. Whatever you bring. Bring your own. There is no enclosure and no prop box.

Photo booth hire and face-recognition platforms vary a lot between vendors. Where a cell says "varies", that is because it genuinely does — ask the specific supplier rather than trusting our summary of their category.

When not to use PopStudio

Written plainly, because a tool that claims to win every event is not a tool you should trust with your night.

You want printed strips and a prop box at a 21st

Hire a booth. Genuinely. The print in the hand, the curtain, the hats, four people crammed into one frame laughing — that is the product, and we do not make it. PopStudio delivers digitally and has no enclosure, no printer and no props. If the fun of the thing is the machine, we are the wrong purchase and you will be disappointed.

You need every candid across a whole festival matched automatically

Use a face-recognition platform. If three photographers are roaming a three-day event and every attendee should find themselves in shots they never posed for, that is exactly what those tools are for and they are good at it. PopStudio only delivers photos taken at a station, to a guest who checked in and showed a code. That constraint is deliberate — it is the same constraint that means no faceprint exists — but it is still a constraint, and for that job it is the wrong one.

Nobody is holding a camera

PopStudio needs a photographer. Somebody has to stand there, direct the shot and press the button. If your event has no one available to do that, an unattended booth is the honest answer, not us.

You cannot bring a laptop

The camera tethers to a laptop over USB, and the laptop runs the capture app. There is no phone-only mode. If a laptop cannot be on the table, PopStudio will not run.

You want the photos edited before they go out

Photos develop and send automatically, in about a minute. That speed is the point, and it rules out sitting with each frame first. If your work requires a considered grade on every image before a client sees it, shoot it your normal way and deliver it your normal way.

If you are still here

Then it's probably the right fit

A queue of people, someone who can shoot, and a wish that the photos were already in their inbox by the time they got to the car park. The free test drive runs the entire loop with your own camera and your own team — 15 guests, 60 photos, no card.
